This article will provide an overview of the key functionalities of the Schoolyear dashboard, including:
- Customizing profile settings
- Configuring security settings (using the Settings widget)
- Sharing the dashboard with colleagues
- Exporting student logbooks
- Removing blockages by restarting students
- Removing blockages by removing the red screen
Customizing Profile Settings:
The Schoolyear dashboard allows you to customize your profile settings to your preferences. This includes the ability to change the language setting of the dashboard.
- Click on the profile icon located in the top right corner of the screen. This will open the profile menu.
- Within the profile menu, you can access and edit your profile settings.
Change Security Settings (Settings Widget):
The Schoolyear dashboard offers additional security settings in the Settings widget, which allows you to customize security settings for a specific exam.
Step-by-Step:
- Go to the exam-specific Schoolyear dashboard.
- Select 'Edit Exam' in the upper right corner of the dashboard.
- The Settings widget will open, allowing you to customize security settings.
It's important to note that for test applications and LMS systems that have integration with Schoolyear, the security settings are often accessible through a 'Configure' or 'Settings Widget' button within the test application's or LMS interface.
You can read more about the functionality in the article "Customize Security Settings (Settings Widget)".
Sharing the Dashboard with Colleagues:
The Schoolyear dashboard allows you to share an exam-specific dashboard link with colleagues, providing them with access to view student activities for a specific exam even if they do not have regular access to the dashboard.
Step-by-Step:
- Go to the exam-specific Schoolyear dashboard.
- In the top right corner of the screen, select 'Share' and then 'Share with Proctors'.
- Choose 'Copy' to copy the link from the exam-specific Schoolyear dashboard.
- Share the link with the colleague you wish to give access to the dashboard. Once the user logs in, their name will appear in the list under 'All Users with Access'.
Exporting the Student Logbook:
The Schoolyear dashboard allows you to export a copy of a student's activities per exam. This function can be useful for a number of purposes such as:
- As evidence in case of suspicious actions towards the examination board or as an appendix for composing an official report.
- As additional information or evidence in case of (wifi) failures or other disturbances during the exam. This can be used to determine whether students are entitled to a re-sit or extra time.
Step-by-Step:
- Go to the exam-specific Schoolyear dashboard.
- Click on the student in question.
- Select the three dots in the top right corner of the student activity screen.
- Choose 'Save as PDF' to export the logbook.
Remove blockage: restart student
Schoolyear prevents a student from starting an exam for a second time and cheating by displaying a block screen. This functionality is separate from any 'block restart' functionalities implemented by the test application.
There are two ways to release a student's blocked screen for restarting:
- Enabling 'Restart your exam' with the proctor pin code.
- Via the 'Allow restart' button in the Schoolyear dashboard.
Method 1: Enabling 'Restart your exam' with the proctor pin code Step-by-Step:
- Go to the exam-specific Schoolyear dashboard.
- Select 'Proctor code' in the top right corner of the screen. The proctor pin code will be displayed.
- Ask the proctor to enter the proctor pin code in the field provided on the student's screen.
- The student can now continue with the exam.
Method 2: Via the 'Allow restart' button in the Schoolyear dashboard Step-by-Step:
- Go to the exam-specific Schoolyear dashboard.
- Click on the student's name on the left side of the screen.
- Select the dots at the top right of the student activity screen.
- Click 'Allow restart' to release the block screen.
Remove Blockage:Yellow Screen
The yellow fraud screen is a protective measure activated by Schoolyear when it detects suspicious activity on the student's device. A proctor can choose to release the yellow fraud screen by using the proctor pin code from the dashboard.
Step-by-Step:
- Go to the exam-specific Schoolyear dashboard.
- Select 'Reveal Proctor Code' in the top right corner of the screen. The proctor pin code will be displayed.
- Ask the proctor to enter the proctor pin code in the field provided on the student's screen.
- The student will then be able to continue with the exam.
When the yellow fraud screen is released, the Schoolyear dashboard will display a lock symbol in the student's log as an indication that the yellow screen has been released using the proctor pin code. Additionally, on the student's screen, 'Security Override' will appear in the lower left corner of the Schoolyear bar, along with the number of times the security has been overridden (by entering the proctor pin code).
