Note: Office for the web is not included as standard in every licence. Contact support@schoolyear.com to discuss the options for your organisation.
With the Office for the web add-on, you give students the opportunity to create or edit files in web-based exams using the web versions of Word, Excel & PowerPoint. This article explains how to use Office for the web and provides answers to the following questions:
- What is Office for the web?
- When do you use Word for the web?
- How do I enable the functionality for my environment?
- How do I allow the use of Office for the web during an exam?
What is Office for the web?
Office for the web is an integration with Microsoft 365 for the web. When enabled for an exam, students can use it to open and edit Word, Excel and PowerPoint documents in the browser of the Safe Exam Workspace. Supported files can be provided via the Schoolyear Drive, via an exam application or created by the student themselves. These files are automatically opened in the corresponding web application and saved in the Schoolyear Drive.
Files in the Schoolyear Drive are automatically saved in Schoolyear and can be downloaded via the dashboard. In addition, students can submit the edited files in the exam application.
When do you use Office for the web?
Use Office for the web when students only need to work in Word, Excel or PowerPoint during an exam. For example, when they need to complete or edit a provided document, or create a new document themselves as an answer to an assignment.
If students also need other desktop applications or spelling is being assessed, use Secure Apps via the AVD add-on. The spell checker in Office for the web is always enabled and cannot be disabled.
Note: The spell checker in Office for the web is always enabled and cannot be disabled. Office for the web is therefore not suitable for exams in which spelling is assessed.
How do I enable the functionality for my environment?
To offer the functionality when planning the exam, it must first be enabled by an administrator for the entire Schoolyear environment. Follow these steps:
- Navigate to the Admin Console.
- Go to Organisation settings.
- Under Microsoft 365 for the Web, enable Allow Microsoft 365 editing in exams.
- Select the type of licence your students have.
Note: Exam participants must have a valid Microsoft licence that provides access to Office for the web.
How do I allow the use of Office for the web during an exam?
To allow students to use the web version of Word, Excel & PowerPoint during an exam, follow these steps:
- Create a new exam or open an existing exam.
- Navigate to the exam's settings widget.
- Go to Apps in the navigation menu and select Web Apps.
- Select Office for the web.
- Can't select this option? You must first allow students to upload files.
- Save the configuration.
If you do not see this option in the settings widget, contact the administrator of your Schoolyear environment.
